Landgate is the Agency responsible for Western Australia’s land and property information.
Challenges
Prior to implementing a SaaS contract management solution, contract management efforts were decentralized, with individual staff managing contracts separately. While some staff used spreadsheets to manage contract data, it was inconsistent and not comprehensively performed. The Authority identified that consistent contract management and reporting was not undertaken, leading to the risk of contractual obligations and performance targets not being met.
In response to this and as a part of their corporate restructuring, the IT Contract Management group was given a new mandate to provide governance for all contracts within the organization. In order to meet this mandate, it was quickly determined that a contract management system would be required. While this Authority had very good in-house software development resources, they understood that they lacked the business expertise to develop their own in-house solution and concluded that the best option would be to purchase a best-of-breed product.
Solution
The Novatus Contracts Solution was implemented on-site in Australia over a five day period. During implementation, contract management requirements were gathered and configured in the client's unique instance of the Novatus Contracts system. Key features and needs identified by the client were configured and tested during the client's agreements.
End-user training included system use as well as contract management best practices, in the context of the client’s business practices, requirements and corporate culture. System administration training was conducted in tandem with system configuration, by providing selected individuals from the client’s Contract Management Group with hands-on configuration experience.
